Transactions are money coming in, going out, or moving between your accounts. Each one is either cleared (it has gone through the account) or planned (you expect it to happen).
- Cleared transactions set your accounts' real balances.
- Planned transactions are what you expect to happen. They don't change your balances; they feed the forecast, so you can see where your balances are heading.
Add a transaction
- Choose Add (or press N). On a phone, tap + at the bottom. From an account's own page, Add starts with that account already chosen.
- Choose Expense, Income, or Transfer.
- Choose Planned or Cleared.
- Enter a description, the date, the amount, and the account. For a transfer, choose the account the money leaves and the account it goes to.
- Add notes if you like, then choose Add.
Amounts are always entered as positive numbers: choosing Expense, Income, or Transfer decides which way the money goes.
Transfers between currencies: when the two accounts use different currencies, you also enter the amount that arrives. For example, $1,000 CAD leaves and $714.29 USD arrives.
Change or delete a transaction
Click a transaction to open it. Change anything and choose Save changes, or choose Delete and confirm. Deleting a cleared transaction changes the account's balance.
Deleting an occurrence of a repeating transaction removes just that one; the rest of the series stays. Choose Undo on the message to put it back, or later open any occurrence's Series tab and choose Put them back. To remove the whole series, choose Delete series on that tab. To leave one out only for now, switch it off instead.
Repeating transactions
Pay cheques, rent, and subscriptions repeat. When adding a planned transaction, tick Repeats and choose how often:
every week, every 2 weeks, twice a month, every month, every 3 months, or every year.
The date you enter is the first one. Add a last date if it ends, or leave it empty to repeat with no end. For twice a month, choose the two days of the month; 31 means the last day of every month.
Make a transaction repeating
Imported transactions, or ones you added once, don't know they repeat. To turn one into a repeating transaction:
- Open the transaction and tick Repeats.
- Choose how often it repeats, and a last date if it stops.
- Check the first repeat date shown: it's the next date on the pattern after this transaction.
- Choose Save changes.
The repeating transaction has the same type, account, amount, description, and notes. The transaction you started from stays as it is, on its own.
Change one occurrence, or the whole series
Click any occurrence to open it. It has two tabs:
- Transaction is this one only: for example, one month's rent is different. Change it and choose Save changes. It stays part of the series and is marked Changed; to put it back to the series' values, choose Undo changes.
- Series is the whole series: for example, the rent goes up. Change the amount, accounts, pattern, or dates and choose Save series. Every planned occurrence changes, except ones that have cleared and ones you changed on their own. Set a last date to stop it, or Switched off from a date to switch it off from then on. Delete series removes every planned occurrence; ones that have cleared are kept.
When a planned transaction clears
When it has gone through your account, open it and choose Cleared. Adjust the date and amount to match your bank, then choose Save changes. You can do this early, before its planned date. If it didn't go through after all, open it, choose Planned, and save.
On a computer there's a quicker way: point at it in a list and choose ✓. It's marked as cleared on its planned date, for its planned amount, and the notification lets you Undo.
To move a planned transaction to another date, open it, change the date, and save.
Clear automatically
Some payments always go through as planned: subscriptions, pre-authorized payments, automatic transfers, pay. Instead of marking each one as cleared, tick Clear automatically on its date when you add or edit it. For a repeating transaction, tick Clear each one automatically on its date, or set it on the series' page.
- On its date, it's marked as cleared for you, at its planned amount, and your balance changes. A one-off change to a single occurrence clears with its own date and amount.
- In lists, ⚡ marks transactions that will clear, or did clear, by themselves.
- The overview tells you what cleared automatically since you last dismissed the note. Show them lists them.
- If one didn't go through, or the amount was different, open it: correct it like any cleared transaction, or choose Put back to planned to clear it yourself when it does.
- Switched-off transactions never clear by themselves. Turning this on doesn't clear anything already overdue: check those yourself, since they may not have gone through.
Overdue transactions
If a planned transaction's date passes without being marked as cleared, it's marked Overdue. The forecast still counts it, as if it happens today, until you mark it as cleared, move it, or switch it off. Nothing quietly disappears.
To find them, choose Show them on the overdue warning, or choose Overdue above the Transactions list. In a list, an overdue transaction keeps its own date but sits at today, just above the Today line, because that's when it counts.
Switch transactions on and off
Every planned transaction has a switch. On means it counts in the forecast; Off keeps it in the list, greyed out, without counting it. Nothing is deleted, so you can switch it back on at any time.
This is how you try out possibilities. For example, to see what happens if you sell the car: add a planned "Sell car" income and switch it on, then open the car payment series and switch it off from the sale date onward. The forecast updates straight away. Switch them back to undo.
- Switch a single occurrence of a series off with its own switch.
- Switch a whole series off on its Series tab, or set Switched off from there to switch it off from a date onward.
- Cleared transactions can't be switched off.
Delete planned transactions in bulk
To clear out a pile of planned transactions at once, for example old ones that never happened:
- In Transactions, narrow the list with the dates, accounts, and search until it shows the ones you want.
- Choose Select planned…, then tick them, or choose Select all (it shows how many).
- Check the count and total, choose Delete, and confirm.
Only single planned transactions can be selected. Cleared transactions are never deleted this way, so your balances don't change. Occurrences of a repeating transaction can't be selected either; switch those off instead. Choose Undo on the message straight afterwards to bring them all back.
Find transactions
The Transactions list shows the last month and the next two, newest first, with the balance after each. To see further, choose Show 30 more days ahead at the top of a list, or Show 30 more days back at the bottom; each adds 30 days, and the dates at the top follow. Choose other dates and accounts at the top, search descriptions (press /), and show only cleared or planned, or only what's switched off.
