People keeps everyone your business deals with:
- Organizations: companies, shops, clubs.
- People: on their own (most walk-in customers), or working at one of your organizations.
Each one can be a customer, a supplier, or both.
Add an organization
- Open People, then Organizations, and choose New organization.
- Enter its name.
- Tick Customer, Supplier, or both. A customer can have a price level.
- Add how to reach it (email, phone, website) and its address, if you like.
- Choose Add organization.
Add a person
- At an organization: open it, choose its People tab, then Add a person. The organization is filled in.
- Anywhere else: open People, then People, and choose New person. To put them at an organization, search for it under Organization.
Add a job title if you like, for example Buyer.
A person at an organization buys at the organization's price level. A person on their own can have their own.
Customers are also added by their sales, for example when you record a sale for someone new, or import from Shopify.
Import customers from Shopify
- In Shopify, open Customers, choose Export, then All customers and CSV for Excel (or Plain CSV). Shopify emails you a link to the file.
- In IAPZ, open Settings › Import (Owners and Managers), choose Import beside Customers, and choose the file.
- Check what would happen: how many are new, how many are already in People and will get details filled in, and any organizations added from Shopify's company.
- Choose Import.
Customers already in People, for example from your Shopify sales, are matched by Shopify's customer number, then email, then (without an email) the exact name. Only the details they don't have yet are filled in, such as a phone or address. Nothing you've typed in IAPZ is changed. Shopify's note becomes their first note.
Each customer's marketing consent from Shopify (email and text) is kept on their Marketing tab, marked "Imported from Shopify". Whether Shopify's consent is enough for the marketing you plan is for you to check.
Not imported: total spent and orders (IAPZ works them out from its sales), tax exempt, and tags.
Imported the wrong file? In Settings › Import, open Customers and choose Undo beside it under Past imports. The customers it added are removed, unless you've sold to them since. Details it filled in stay.
A customer's Sales tab shows what they've spent and owe and each sale, and their Account tab their statement. A supplier's Purchase orders tab lists what's been ordered from them.
Notes
Keep notes about calls, emails and meetings on an organization's or person's Notes tab:
- Choose the Kind, for example Call.
- Write the note.
- Choose Add note.
Notes show newest first, with who wrote them and when. Whoever wrote a note, or an Owner or Manager, can Change or Delete it.
The kinds start as Call, Email, Meeting, Follow-up and Note. To rename them or add more, open Settings, then Note categories.
Marketing consent
Each person's and organization's Marketing tab shows whether they've agreed to be sent marketing, for Email and Text (SMS):
- Yes: they can be sent marketing that way once IAPZ Marketing is used.
- No: they're never sent marketing that way.
- Not asked: treated as no until they agree.
IAPZ doesn't send marketing yet, so these don't change anything today. They decide who it may go to later. Receipts, invoices, quotes and statements aren't marketing: they're always sent.
To change one, choose Change Email (or Text), choose their answer, and say how they agreed (in person, by phone, by email or message, or on a form), which is needed for a yes. Add a note if you like, for example "signed up at the range day". Anyone in the business can record it.
Every change is kept under History: the answer, how they agreed, who recorded it, and when.
Find someone
Search by name, email or phone. Under Show, list only customers or only suppliers, or choose a price level.
Archive someone you no longer deal with. Their sales and orders keep them, and Archived only brings them back into view.
Suppliers
On a supplier's page, New purchase order starts an order to them (with Inventory). See Purchase orders and receiving.
