Price levels and customers

Checked October 22, 2026

Every item has its own price, called Retail, and every customer pays it unless you give them a price level. A level is a set of prices for a kind of customer, for example Wholesale for shops that resell, or Club member.

Add a price level

  1. Open Settings, then Price levels, and choose Add a price level.
  2. Give it a name, for example Wholesale.
  3. If you like, choose a Rule for every item:
    • % off retail: 30 makes a $20 item $14.
    • % markup above cost: 60 makes an item that costs you $10 sell for $16. An item without a cost stays at retail. (An item bought in a case can take its cost from the case: see Items.)
    • None: only items you give a price at this level have one. The rest stay at retail.
  4. Choose Add a price level.

An item's own price at a level

Open the item and choose its Prices tab. Each level shows the item's price there and where it comes from: Its own, the level's rule, or Retail.

To give the item a different price at a level, choose how, then enter the number and choose Save prices:

  • Fixed price, for example 14.99;
  • % off retail;
  • % markup above cost.

Choose Use the level's rule (or retail) to go back.

Customers

Your customers are organizations and people in People (see People). Search by name, email or phone, or show one price level. Customers come in with their sales (for example from Shopify), or add one there.

On a customer's page, tick Customer and choose their Price level. A person at an organization buys at the organization's level. Their price for an item is then:

  1. the item's own price at that level, if it has one;
  2. otherwise the level's rule;
  3. otherwise retail.

Only Owners and Managers can change a customer's level. Price levels change prices only, not taxes. Tax exemption, for example for a PST number, comes later.

Price levels are used whenever you add items to a sale, invoice or quote, and at the point of sale.

Archiving a level puts its customers back on retail prices until you give them another.
