Customer accounts and paying later

Checked October 22, 2026

A customer can buy now and pay later. What they buy goes on their account, a running balance of what they owe. When they pay, the payment comes off the balance, whatever they bought.

For example: a customer buys $20 of BBs on Monday and $20 more on Friday, so they owe $40. They pay $10, and they owe $30.

Sell on account

  • At the point of sale: choose the customer, tap Charge, then Pay later. That's it. The screen shows what they owe now, and so does their receipt if you email one.
  • On a sale: in New sale, choose the customer and Pay later. The due date starts 30 days later.

Either way, the sale becomes an invoice on their account, and with Inventory its items' stock goes down. Pay later needs a customer: choose them, or add a new one.

Any unpaid sale with a customer goes on their account by itself, due in 30 days. An unpaid sale with no customer shows Who owes this?: find the person and choose Charge to them.

Take a payment

  1. Open the customer in People and choose their Account tab. (Or open one of their invoices and choose Receive a payment.)
  2. Choose Receive a payment.
  3. The amount starts as everything they owe. Change it to what they paid.
  4. Choose the day and what it was paid with.
  5. Choose Receive a payment.

If they pay more than they owe, the rest stays on their account as a credit, and pays for their next pay-later sale.

A payment taken by mistake can be deleted with the bin beside it on the statement; what it paid is owing again.

Their account

The Account tab shows:

  • What they owe, or their credit.
  • What's overdue: invoices still owing after their due date.
  • The statement: each pay-later sale and payment, newest first, with the balance after each.

Each payment pays their oldest invoices first, so each invoice still shows whether it's unpaid, partly paid or paid.

Who owes what

Sales, then Accounts, lists everyone with an account: who owes (most first), who's overdue, and who has a credit. Choose someone to open their account.
