Bring in your products from Shopify's product export, as items, and your sales from its order export. Each order becomes a sale, with its items, discounts, GST and PST, customer, and whether it's been paid.
Import your products first. Then each imported sale's lines are linked to the item of the same name. If you import the orders first, the lines are linked when the products come in.
Import your products
- In Shopify's admin, open Products and choose Export: All products, as CSV for Excel, Numbers, or other spreadsheet programs.
- In IAPZ, open Settings › Import, and choose Import beside Products.
- Choose the file. Nothing is saved yet. IAPZ shows:
- how many items are new, and how many are services;
- how many have a cost;
- the categories they come with;
- any it has to leave out, with the reason.
- Choose the brand they're sold under.
- Choose the taxes charged on taxable products, for example GST and PST. Shopify's export only says whether a product is taxable, not which taxes.
- Choose Import.
How each product comes in:
- Product or service: products Shopify doesn't keep stock for, like rentals or hours of service, come in as services.
- Category: Shopify's Type (for example BBs) becomes the category. Shopify's own "Product category" isn't used, because it comes from Shopify's list, not yours. Give the rest categories afterwards, many at once (see Items).
- Left out: products with variants (like sizes or colours) wait for now, so add those by hand. Gift cards aren't items.
- Already in IAPZ: products already imported, or with the same name as an item you added, are skipped.
Import your sales
Export your orders from Shopify
- In Shopify's admin, open Orders and choose Export.
- Choose All orders, and CSV for Excel, Numbers, or other spreadsheet programs.
- Choose Export orders. Shopify downloads the file, or emails it to you for a large store.
Import them
- In IAPZ, open Settings › Import, and choose Import beside Orders.
- Choose the file. Nothing is saved yet: IAPZ shows how many orders are new, their dates and total, and any it has to leave out (for example a cancelled order), with the reason.
- Choose the brand the orders belong to.
- Match each of Shopify's payment methods to one of yours, for example Bank Deposit to E-transfer. Ones you don't match are added to your payment methods under Shopify's name.
- Choose Import.
How each order comes in:
- How it was sold: point-of-sale orders as In person, draft orders as Invoiced, and the rest as Online.
- Discounts: an item's own discount stays on it; a discount on the whole order is shared across its items, so the totals match Shopify's to the cent.
- Taxes: Shopify's own amounts, linked to your taxes of the same name and rate in Settings, Taxes (for example GST 5% and PST 7%). An exempt order's PST 0% is left out.
- Paid: orders still owing anything come in as not paid yet. Refunds are kept.
- Shopify's order number is kept in each sale's notes, for example "Shopify #1158".
Importing again
You can import a newer export whenever you like: orders already brought in are skipped, so nothing is counted twice.
Undo an import
Open Settings › Import, choose Import beside Orders (or Products), and choose Undo beside the import in Past imports.
- An orders import: its sales are removed, and its orders can be imported again. Payment methods and customers it added stay.
- A products import: its items are removed. Sales that sold them keep their lines, just without the link to the item. Categories it added stay.
