A quote (or estimate) is what you'd charge a customer, offered until a date. It's kept in Drafts, apart from your sales: it never counts in your sales or takes stock. When the customer agrees, you turn it into an order or an invoice.
Make a quote
- Open Drafts and choose New quote.
- Choose the brand, the date, and Valid until (30 days later to start).
- Find the customer by typing part of their name, email or phone, or choose New customer and enter their name and email.
- Add what you're offering, as on a sale: Add an item, or Line without an item for anything else.
- Add Notes for the customer if you like; they're printed on the quote.
- Choose Save quote. Quotes have their own numbers, from Quote 1001.
A quote can be changed with Change, or deleted, until it's accepted.
Send it
Open the quote and choose Send. It's emailed to the customer from your brand's name, with the quote attached as a PDF, as an invoice is. Download PDF opens the same PDF, to print or save.
When the customer answers
The customer tells you by email or phone, and you mark it here:
- They agree: choose Accept as an order or Accept as an invoice. The new order or invoice opens filled in from the quote; change anything you need to, then save it. The quote is then Accepted, with a link to its order or invoice.
- They say no: choose Mark as declined. If they change their mind, Open again.
A quote that's still open after its valid-until date shows as Expired. You can still accept it, or change its date.
